Patient No-Show and Late Cancellation Policy
- Effective Date: October 12, 2026
- Last Updated: October 19, 2026
FemmeKare is a telehealth service operated by SDKare LLC and is not a separate legal entity.
This Patient No-Show and Late Cancellation Policy explains the rules and responsibilities applicable when patients miss, cancel, reschedule, or arrive late for appointments scheduled through FemmeKare. It also outlines applicable fees, complimentary rescheduling opportunities, first-occurrence waivers, and exceptions.
Timely cancellation helps maintain appointment availability, supports continuity of care, and allows healthcare providers to manage their scheduled clinical time effectively.
By scheduling an appointment through FemmeKare, patients acknowledge the applicable cancellation, rescheduling, and no-show terms disclosed during the booking process.
Nothing in this Policy limits patient rights or remedies available under applicable federal or state law.
1. Appointment Cancellation and Notice Requirements
Patients should cancel or request to reschedule an appointment at least 24 hours before its scheduled start time.
The following cancellation rules apply:
Cancellations Made at Least 24 Hours in Advance
Appointments canceled at least 24 hours before the scheduled start time are eligible for a full refund of the applicable appointment service fee, except where a separately disclosed and legally permissible non-refundable booking condition applies.
No late-cancellation or no-show fee applies to these cancellations.
Cancellations Made Less Than 24 Hours in Advance
Appointments canceled less than 24 hours before the scheduled start time are considered late cancellations.
These appointments are non-refundable. However, the original payment may be applied toward a rescheduled appointment in accordance with Section 3.
Additional late-cancellation fees may apply depending on the patient’s cancellation history and the exceptions described in this Policy.
Same-Day Initial Appointments
Appointments booked by new patients for the same calendar day are subject to the additional conditions described in Section 4.
Patients should notify FemmeKare Patient Support as soon as possible when they are unable to attend an appointment.
Refund eligibility is governed by FemmeKare’s Refund Policy.
2. No-Show Policy
A patient is considered a no-show when they fail to attend a scheduled appointment without providing notice of cancellation or rescheduling.
No-shows are tracked separately from late cancellations.
2.1 First No-Show
A patient’s first qualifying no-show is eligible for one complimentary rescheduling opportunity.
The following conditions apply:
- No $25 no-show fee will be charged for the first qualifying occurrence.
- The patient may reschedule the missed appointment without an additional no-show fee.
- The original appointment payment will be applied toward the rescheduled visit.
- The original appointment payment is not automatically refundable because the appointment was missed.
Patients should contact FemmeKare Patient Support to arrange the rescheduled appointment.
2.2 Subsequent No-Shows
Any qualifying no-show after the first is generally subject to a $25 no-show fee.
The following conditions apply:
- A $25 fee applies to each subsequent qualifying no-show.
- The applicable fee must be paid before the missed appointment can be rescheduled, unless already paid or otherwise resolved.
- Missing an appointment does not automatically create a right to a refund of the original appointment payment.
- No-show fees are charged separately and are not deducted from refunds.
All charges remain subject to applicable law and the terms disclosed before booking.
2.3 Exception for Same-Day Initial Appointments
If FemmeKare retains the original non-refundable payment for a same-day initial appointment, no additional $25 no-show fee will be imposed for that missed appointment.
This exception takes precedence over the general subsequent no-show fee provision for the same appointment.
3. Late Cancellation Policy
A cancellation made less than 24 hours before the scheduled appointment start time is considered a late cancellation.
Late cancellations are tracked separately from no-shows, and each category has its own first-occurrence fee waiver.
3.1 First Late Cancellation
A patient’s first qualifying late cancellation is exempt from the $25 late-cancellation fee.
The following conditions apply:
- No $25 late-cancellation fee will be charged.
- The original appointment payment is non-refundable.
- The patient may reschedule without an additional late-cancellation fee.
- The original appointment payment will be applied toward the rescheduled visit.
The first-occurrence waiver applies only to the $25 fee and does not create a right to a refund.
This waiver is subject to the exceptions described in Section 5.
3.2 Subsequent Late Cancellations
Any qualifying late cancellation after the first is subject to a $25 late-cancellation fee.
The following conditions apply:
- The original appointment payment remains non-refundable.
- The original payment will be applied toward the rescheduled visit.
- The applicable $25 fee must be paid before rescheduling, unless already paid.
- The $25 fee is assessed separately and is not deducted from a refund.
Patients are encouraged to notify FemmeKare Patient Support as soon as they become aware that they cannot attend their appointment.
All fees must comply with applicable law and the terms disclosed before purchase.
4. Same-Day Initial Appointments
Appointments booked by new patients for an initial consultation scheduled on the same calendar day are non-refundable.
The following conditions apply:
- Same-day initial appointment fees are non-refundable when patients cancel or fail to attend.
- Patients may request rescheduling instead of receiving a refund.
- One complimentary rescheduling opportunity is available for a qualifying same-day initial appointment.
- The original appointment payment will be applied toward the rescheduled visit.
- The first qualifying late cancellation does not result in an additional $25 fee.
- Subsequent qualifying late cancellations may incur a $25 fee, payable before rescheduling.
- No additional $25 no-show fee will be charged for a missed same-day initial appointment when the original non-refundable payment is retained.
Patients should notify FemmeKare Patient Support immediately if they cannot attend their appointment.
This same-day booking condition applies only to new patients scheduling their initial appointment. Existing patients remain subject to the standard cancellation, late-cancellation, and no-show provisions.
If FemmeKare or the healthcare provider is unable to deliver the purchased service, applicable refund rights and other remedies remain available under FemmeKare’s Refund Policy and applicable law.
5. Separate Waivers and Special Cancellation Rules
5.1 Independent First-Occurrence Waivers
FemmeKare maintains separate records for no-shows and late cancellations.
Patients generally receive:
- One first-occurrence no-show fee waiver.
- One first-occurrence late-cancellation fee waiver.
These waivers are independent, meaning a patient’s first no-show and first late cancellation are normally treated as separate events.
However, the exceptions described below take precedence.
A waiver removes the applicable $25 fee but does not independently entitle the patient to a refund of the original appointment payment.
5.2 No-Show and Late Cancellation Within 24 Hours
If a patient has both a no-show and a late cancellation within 24 hours of each other, only one first-occurrence waiver may be applied to the two events.
The following conditions apply:
- The waiver applies to whichever event occurred first.
- The second event is subject to the applicable $25 fee, even if it would otherwise qualify for a first-occurrence waiver.
- No additional $25 no-show fee will be imposed on a retained, non-refundable same-day initial appointment payment.
These conditions apply to the corresponding appointment events and remain subject to applicable law.
5.3 Late Cancellation of a Rescheduled Initial Appointment
If a patient misses their initial appointment without notice, receives a complimentary rescheduling opportunity, and subsequently cancels the rescheduled appointment less than 24 hours before its scheduled start time, a $25 late-cancellation fee applies.
This fee applies even if the patient has not previously used their first-occurrence late-cancellation waiver.
The following conditions apply:
- The original appointment payment remains non-refundable.
- The original payment may be applied toward the next rescheduled visit.
- The $25 late-cancellation fee must be paid before another appointment can be rescheduled, unless already paid.
This specific exception does not authorize an additional $25 no-show fee for the original same-day initial appointment when its non-refundable payment has already been retained.
All charges remain subject to the terms disclosed before purchase and applicable law.
6. Late Arrival
Patients should join their telehealth appointment at or before the scheduled appointment time.
A patient who joins more than 15 minutes after the scheduled start time may be considered late.
Depending on provider availability and the clinical time remaining, the healthcare provider may be unable to complete the consultation.
In such circumstances:
- The appointment may need to be rescheduled.
- The provider is not required to extend the consultation beyond its originally scheduled end time.
- A late arrival that cannot reasonably be accommodated may be treated as a missed appointment where appropriate.
- Any applicable no-show fee or waiver will be determined under Sections 2 and 5.
Late arrivals will be reviewed according to the circumstances and applicable appointment requirements.
7. Repeated Cancellations and Scheduling Restrictions
Repeated cancellations, missed appointments, or late arrivals may interfere with appointment availability and continuity of care.
7.1 Three Consecutive Cancellations
Patients who cancel appointments three consecutive times may have their scheduling arrangements reviewed, regardless of whether those cancellations occur within or outside the 24-hour cancellation period.
Following this review, FemmeKare may establish additional conditions for scheduling future appointments, provided those conditions are properly disclosed and legally permissible.
Any additional charge must be communicated to the patient before it applies.
This provision does not independently authorize an unspecified cancellation fee.
The standard $25 late-cancellation fee under Section 3 continues to apply separately to qualifying late cancellations.
7.2 Repeated No-Shows and Late Arrivals
FemmeKare may also review a patient’s scheduling history when repeated missed appointments or late arrivals interfere with the delivery of healthcare services.
Any scheduling restrictions or other actions will be determined according to the circumstances, applicable policies, and legal requirements.
7.3 Continuity of Care
If repeated appointment issues affect an established patient-provider relationship, any decision to discontinue services will be handled in accordance with applicable laws, professional obligations, and continuity-of-care requirements.
Appropriate notice and information about continued treatment or transfer of care will be provided where required.
8. Emergencies and Exceptional Circumstances
SDKare LLC recognizes that emergencies and circumstances outside a patient’s reasonable control may occasionally prevent timely attendance or cancellation.
Patients should contact FemmeKare Patient Support as soon as reasonably possible if an appointment is missed or canceled late because of an emergency or exceptional circumstance.
Requests for additional fee waivers or accommodations beyond the standard first-occurrence allowances may be reviewed individually.
Any additional waiver is subject to the circumstances, applicable company procedures, and legal requirements.
Approval of a waiver in one situation does not guarantee the same accommodation in future situations.
FemmeKare is not an emergency medical service. Patients experiencing a medical emergency should call 911 or visit the nearest emergency department.
9. Appointments Canceled by FemmeKare or the Provider
If FemmeKare or the scheduled healthcare provider must cancel an appointment, the patient will not be charged a no-show or late-cancellation fee for that cancellation.
The patient will be offered an opportunity to reschedule.
Where applicable, refunds will be handled according to FemmeKare’s Refund Policy and applicable law.
Provider-initiated or FemmeKare-initiated cancellations will not count toward the patient’s no-show, late-cancellation, or consecutive-cancellation history.
10. Technical Issues During Telehealth Appointments
Patients are responsible for having reasonable access to the technology necessary to participate in a telehealth appointment.
If an appointment cannot be attended or completed because of a technical issue, FemmeKare may review the circumstances to determine the appropriate resolution.
Technical problems attributable to FemmeKare’s systems or the healthcare provider’s inability to conduct the visit will not be treated as a patient no-show.
Technical difficulties arising solely from the patient’s device, internet connection, or other equipment do not automatically establish eligibility for a refund or fee waiver.
Such circumstances may be reviewed individually in accordance with FemmeKare’s policies and applicable law.
11. Appointment Reminders
FemmeKare may provide appointment reminders as a convenience.
Patients remain responsible for attending scheduled appointments and providing timely cancellation notice, even when:
- An appointment reminder is not received.
- A text message or email is delayed.
- Contact information is outdated.
- A reminder is blocked or filtered by a device, email provider, or telecommunications carrier.
Patients are encouraged to keep their contact information accurate and up to date.
Failure to receive an appointment reminder does not automatically waive applicable cancellation or no-show conditions.
12. Refunds, Rescheduling, and Appointment Fees
Refunds and applicable appointment-related charges are governed by FemmeKare’s Refund Policy and Payment Policy for Clients.
The following principles apply:
- Appointments canceled at least 24 hours in advance are generally eligible for a full refund, subject to applicable exceptions.
- Appointments canceled less than 24 hours in advance are non-refundable.
- The original payment for a late-canceled appointment will be applied toward the rescheduled visit.
- The first qualifying late cancellation is exempt from the $25 fee.
- Subsequent qualifying late cancellations incur a $25 fee, payable before rescheduling.
- The first qualifying no-show is eligible for complimentary rescheduling.
- Subsequent qualifying no-shows generally incur a $25 fee.
- Same-day initial appointments are subject to the special non-refundable conditions described in Section 4.
- The separate waiver rules and exceptions in Section 5 apply where relevant.
No-show and late-cancellation fees are assessed separately and are not deducted from refundable appointment payments.
Appointment and consultation fees are generally non-refundable once the healthcare service has been provided, except where otherwise required by applicable law.
Patients should review the Refund Policy for detailed refund eligibility and processing information.
